Palm Frequently Asked Questions

You only need to declare retail own label products that contain palm materials and that you sell to ALDI SOUTH, ASDA, Booker, M&S, Morrisons, Sainsbury’s, Tesco, Lidl International, Co-op and Waitrose & Partners. If the relevant product group contains palm oil it should be included, whether or not that palm oil is certified.

The declaration must be for all products sold 1 Jan 2021 – 31 Dec 2021.

You need to provide the following information for each of the named retailers you supply:

  • RSPO certification status of your manufacturing sites producing products for us.
  • Retail product list for your company confirming that the palm products included in your declaration are directly related to the products supplied to our company. These must include the retail customer product reference number.
  • Palm product tonnages purchased as raw materials by your company that are used in the products you supply us. Data must include:
    • Name of your direct palm product supplier.
    • Total tonnage of palm products, by type. This should only be the volume that is used specifically in our products; not across your entire operations.
    • RSPO certification status for all raw materials purchased (e.g. segregated, mass balance).
  • Palm product tonnages purchased within ingredients by your company that are used in the products you supply us. Data must include:
    • Retail product category the ingredient is used in.
    • Type of finished product supplied to the retailer.
    • Total tonnage of finished product supplied in 2020 to retailer.
    • Ingredient supplier name.
    • Type of palm product embedded in purchased ingredient (e.g. Palm Oil, Palm Kernel Oil).
    • Percentage of palm product mass in finished product (weight-by-weight), if known. If you do not know this figure, a conversion factor that is estimated for the product type will be used.
    • Percentage of palm products with RSPO certification included for the relevant ingredient.
    • Type of RSPO certification claimed for the palm oil included in your purchased ingredients (e.g. segregated, mass balance).

Palm product purchased as a raw material: palm products that are directly acquired and used by your business in your manufacturing sites. This is specifically:

  • palm oil;
  • palm kernel oil;
  • palm kernel expeller; and,
  • other palm-based derivatives and formulations.

Palm product purchased within an ingredient: palm products that are embedded in acquired materials where a third party has incorporated the raw palm product into a new product. For example:

  • Blended cooking oil
  • Margarine
  • Bread

The total palm content for the product group is what is needed, regardless of how many parts or components are present. If a category – such as Easter products – contains both palm-containing products and non-palm-containing products, then you must add up the palm content and disclose that for the category.

Keep in mind that you do not need to provide this information at the product level to the retailer, but at the category level. Therefore you need to be looking at materials you are purchasing by type (e.g. chocolate, pastry, biscuits, soap).

Module A is for the palm oil, palm kernel oil, palm kernel expeller and other palm-based derivatives and fractions that you purchase in that form (i.e. base material). If you buy these in an already manufactured product, like pastry, soap base or margarine, it is considered an ‘ingredient’ and is entered into Module B. If you buy palm oil and ingredients containing palm oil, you will need to fill in both Modules A and B.

Sales data. We recognise that there is almost always some wastage, so the amount of palm oil or palm-oil containing product you buy will always be a bit more than what you sell on in a final product.

Only provide data for the products that are supplied to the named retailers and markets in the declaration. If you supply multiple markets for the same retailer (e.g. UK, France), then you must separately declare each market.

No information should be supplied for manufacturing sites or products that are not supplied to the named retailers and markets.

If the same product is manufactured at multiple sites, you will need to complete one line for each site. We need one form from the company whether you manufacture on one or many sites.

No, you must report on all palm used by your business for each retailer, regardless of volume.

All data is to be provided for products supplied between 1 January 2021 and 31 December 2021. The data is relevant only to the named retailers and markets and should not relate to your overall company procurement practices.

We only require data on products that include a palm-based material or ingredient.

You should only return one form for each manufacturing site. Additional sites are able to be entered separately within the secure declaration portal.

You must work with your manufacturers to collect this information and report back. The form will be addressed to your business, but the Parent and Subsidiary names may be for another company if they are not part of your business group.

If you have an RSPO Chain of Custody certificate you will need to provide the certificate number (or numbers if you have more than one) for your manufacturing site. You do not need to provide your suppliers’ certificates, but these should be available should any questions be asked.

If you have not supplied any of our own brand products that contain palm oil – neither as a raw material nor ingredient – please declare to 3Keel that you are out of scope for this exercise. No further action will be required once you have made this declaration.
